Control your post

All functions operate in real-time.  This means that,  when an item of mail is logged into the system,  it appears in your control panel instantly.

Customers would often enter their address with incorrect capitalisation,  which caused issues with some mail carriers’ OCR  (Optical Character Reading)  software.  Converting the whole address to UPPER CASE solves this problem,  and also makes the mailing labels easier for humans to read.

You can elect to have your mail forwarded Daily,  Weekly (by day),  Monthly,  or stored securely until you request a despatch.  You can then decide whether it is to be sent 1st Class post,  as signed-for,  or by private courier.  All of the available options can be found in the mail forwarding page.

It is as secure as you keep your password secret!  Your personal data is held on secure cloud based servers that meet all ISMS best practice guidelines,  including encryption of your password.

It is our proprietary software system that manages this site,  your mailbox controls and postage fund,  all accounting functions and the physical handling of your mail from receipt to forwarding despatch.

All intellectual and physical rights to ProPost™ and associated mobile Applications,  including the brand name and logotype,  are the property of our parent Company,  Expost Holdings Limited.

Identity Verification

ID processing can take less than 2 hours during the working week  ( Monday to Friday ) but may at times take up to 2 working days.   Once verified,  you will receive a confirmation email,  and all mail forwarding options in your control panel will become active.

If you have not provided the necessary proofs within seven days,  your account may be suspended;  which means that any incoming mail will be returned to sender.

We will usually allow a further 7 days for you to send your documents before finally closing your account.

If you fail to supply the necessary documents after this 14 day period,  our courtesy ‘Right to Withdraw’ will have expired,  so no refund of the Account fee is possible.  We will,  of course,  still return the balance remaining in your Postage Fund.

We comply fully with the new GDPR 2018 standards for data protection and will keep any information you provide during the process private,  safe and secure.  We will never sell or share any of your personal data,  including the results of ID searches,  with any other business,  organisation or individual.

Our ID verification activity does NOT show up as an application for credit,  so will not negatively affect your credit score in any way.

Our computers check multiple sources for the name,  DOB and address you supply including,  amongst others;  the Electoral Register,  ‘Bank Match’ & ‘Tracesmart’.  They search for credit activity,  Company Directorships,  and even look through local telephone directories and records of births,  deaths & marriages.

Size and weight

If a package is delivered for you that is larger or heavier than the Royal Mail medium parcel limit, don’t worry!  We will not reject the item, it will be processed by hand and sent on independently of your normal forwarding, but will attract a small manual handling surcharge.

Wherever possible, our mailroom staff will consolidate your forwarded mail into a single package to save you postage cost.

Yes. . .   we are happy to sign for all registered or recorded deliveries on your behalf, and make no charge for this service.

Items up to the Royal Mail ‘Small Parcel’ limit and a weight of 2Kg, (which increases to 5Kg if the contents are made up entirely from printed paper goods such as letters, documents or magazines), can be sent by Royal Mail International Standard post.

Larger or heavier parcels must be shipped by private courier or deconsolidated, broken down into two or more consignments.  See Packets & Parcels for more handling options.

Not at all, whether it is a letter or package, we charge nothing to forward your mail.  A fixed handling charge has already been made to receive, sort, store and insure your parcel whilst it is in the centre.  You can review all costs in our Fees & Charges page.

Refer a friend

It’s permanent.  Rewarding referrals in this way is,  by far,  the most cost effective promotional campaign we operate,  keeping our costs down and our service prices so affordable.

Unfortunately not. Your account must still be active for bonus months to be added.

That’s no problem.  Accounts are only ‘restricted’ because the Postage Fund is low,  so bonus months will still be added.

There is no limit,  we’d be delighted if you never had pay to renew your mailbox account again!

Yes of course!  No-one can access your mailbox account without your password.

Fees and Charges

Unfortunately not.  You will find the secure Stripe checkout very accepting and is set up to accept Personal,  Business or Corporate credit and debit cards issued by both Visa or Mastercard,  with very few exceptions,  as well as Paypal.

We understand that many customers are protective of their privacy,  but no on-line payment is truly anonymous.  However,  we are bound by the terms of the GDPR to keep all of your personal date safe,  secure and not to share it with any other company or individual.

Charges vary according to the card issuer  (Visa,  Mastercard etc.),  the payment type  (Credit or Debit)  and the geographical location of the card holder,  but tend to average between 2% and 2.5% for transactions carried out via Stripe,  and up to 3.5% for Paypal.  You can see how much you have been charged for any given payment because TX fees are itemised separately in your real-time 90 Day Account Statement.

If you simply allow your Account to expire,  we continue to accept and process mail for a further 30 days in case it has lapsed accidentally,  and handling charges may continue to accrue.  Therefore,  you should request a refund as soon as your Account status has changed to ‘Expired’.

Simply send an email to refunds@expost.uk with your mailbox Key and bank or Paypal account details.  Our accounts department process outgoing payments every Tuesday and,  after allowing five working days to complete the necessary admin,  your refund will be included in the next payment run.

Under our GDPR obligations we must permanently delete any and all of your personal data 90 days after your Account expires,  so your request must be received within this period,  or we won’t have a clue what balance remains!

Scan and View

The scan size is A4,  large enough to capture one full side of all standard UK documents including bank statements,  bills or legal communications,  and possibly two sheets of hand written note paper.  To avoid unnecessary charges to you,  we only scan the first page of a letter initially.

Yes.  Our unique scan viewer is compatible with all computer platforms,  browsers and smart phones.

Email support@expost.uk as soon as you notice your mistake,  but don’t panic!  Although we remove the physical letter from your mailbox,  we wait at least 24 hours before shredding  ( for exactly this reason ), and it is possible to recover the item during this period.

Please note that a manual handling Surcharge will be applied to search for,  identify and recover the item or items.

Forwarding

Nothing at all, it is a free service.

Only if any single item within the despatch is ‘large letter’ size or greater. When a despatch is made up of just your consolidated letter mail, the declaration process is automatic.

When an item arrives that will require a CN22, we will ask you to complete the declaration form in your control panel with the following information; a description of the goods, their value, and intended purpose (gift, business samples, personal use etc.)

Since Brexit all countries now require a customs declaration when leaving the UK unless being shipped from Northern Ireland. Northern Ireland is still able to send to EU countries without the need for a full customs declaration.

Be aware, however, that a CN22 is required for the Channel Islands, Liechtenstein, Switzerland, Andorra, Canary Islands, Gibraltar, San Marino & the Vatican City State, regardless of country of departure.

Mail is insured according to the terms and conditions applied by the carrier that you have elected to use for forwarding.

For security reasons, visitors are not permitted on the Mail Centre premises, so we can’t offer personal collections, sorry.

You can set your mail forwarding option to ‘Signed For & Tracked’ and the tracking number will be emailed to you automatically on despatch. Some countries, however, do not support this service, so please check locally or see the Royal Mail’s Service Coverage Map.

Parcel Post

Yes… We are happy to sign for registered, recorded or courier deliveries seven days a week and make no charge for this service.

Parcels are limited to an insurance value of £10 whilst on the premises.

Parcels are insured according to the standards set by your carrier of choice. If you require extra insurance, please email mailroom@expost.uk and they will contact the carrier on your behalf for an increased insurance quote.

All of the mail in your mailbox is usually forwarded as one consolidated despatch in order to save you postage costs.

For parcels forwarded outside of the EU a CN22 (or CN23 for packages with a value over £270) customs declaration is required.  We will refer to you for information and complete the necessary customs paperwork on your behalf!

A description of the goods, their value and purpose (gifts, business samples, personal use etc.)

A CN22 or CN23 is only required if any individual item within a despatch is large letter size or greater.  However, if a despatch is simply made up from consolidated letter mail, the declaration process is automatic and you will not be required to provide information.

In alphabetical order;  Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain & Sweden.

Despite their appearing to be ‘European’, a customs declaration is required for the following destinations;  Switzerland, the Channel Islands, Andorra, Canary Islands, Gibraltar, San Marino & the Vatican City State.

Outposting

Yes, of course. Many of our expatriate customers do exactly that, but remember that the fees will all be debited from your Postage fund.

The system will send you an email reminder and your outpost items will be mailed as soon as you top-up.

All fees and postage costs are debited from your Postage fund in the normal way.

Yes, but if the parcel is to be posted outside of the EU, you must complete the Customs Declaration form in your control panel.
